Orientation and Onboarding

Before the festival kicks off, all volunteers will go through a quick introduction and training session. This is where you'll learn about your role, meet your team, and get the tools you need to shine. It's our way of making sure you're confident, prepared, and ready to bring the BHIM energy to life!

Orientation & Onboarding

Before the music starts and the lights come on, every volunteer will be part of an orientation and onboarding session. This is where we welcome you officially into the BHIM family. You'll meet your team leaders, connect with fellow volunteers, and get familiar with your specific role. The session will also cover festival rules, emergency procedures, and tips for making the most of your volunteer experience. Think of it as your backstage pass to understanding how the entire show comes together. By the time you step on site, you'll feel confident, prepared, and ready to represent the BHIM spirit.

Policies
Attendance & Shifts

Arriving on time ensures a smooth flow for your team and helps the festival run without hiccups. If you're running late or unable to attend, it's your responsibility to notify your supervisor as early as possible.

Health & Safety

Your well-being and that of our attendees comes first. Volunteers must follow all health and safety protocols, including wearing protective gear where required, knowing emergency exits, and reporting any concerns immediately to the safety team. Remember—keeping thousands of people safe starts with each one of us.

Reimbursements

The festival provides all the essentials you need during your shifts, such as meals and merchandise. Generally, personal expenses are not reimbursed unless specifically approved in advance by the volunteer manager. Always check before making any out-of-pocket purchases on behalf of the festival.

Data & Privacy

We respect your privacy. Any personal information you share with us during the volunteer application and onboarding process will be used solely for coordination purposes. Your details will never be shared with third parties without your consent, and will be securely handled in line with our data protection policy.

FAQ
Can I volunteer with a friend?

Yes! We love when friends join us. You can apply together and even request to be placed in the same team. However, please note that placements are based on festival needs, so while we'll do our best, we can't guarantee identical shifts.

Do I need experience?

Not at all. We welcome both first-timers and seasoned event volunteers. All training is provided during orientation, so as long as you bring enthusiasm, reliability, and a willingness to learn, you'll fit right in.

Is there an age limit?

Yes. For safety and insurance reasons, volunteers must be 18 years or older at the time of the festival. There is no maximum age—if you have the energy and passion, you're welcome to join us!

Volunteer Terms and Conditions

1. Introduction

These Terms and Conditions (“Terms”) govern the participation of all volunteers at BHIM Festival 2025. By registering as a volunteer, you agree to abide by these Terms and any additional rules or instructions provided by the Festival organizers.

2. Eligibility

Volunteers must be 18 years or older on the date of the Festival. Volunteers must complete the official Volunteer Application Form and receive confirmation of acceptance. BHIM Festival reserves the right to accept or decline any volunteer application at its discretion.

3. Roles and Responsibilities

Volunteers may be assigned to one or more of the following roles:

  • Guest Experience
  • Access Control
  • Artist Liaison
  • CSR Crew
  • Media Runners
  • Fan Zone
  • Volunteer Welfare
  • Green Ambassadors
  • Production Runners
  • Post-Event Cleanup

Volunteer Expectations:

  • Arrive on time for all assigned shifts.
  • Wear the official Volunteer T-shirt & Badge at all times while on duty.
  • Carry out duties responsibly, courteously, and professionally.
  • Follow all instructions from the Volunteer Coordinator and Festival Management Team.
  • Refrain from consuming alcohol or drugs or engaging in disruptive behavior while on duty.
4. Working Hours

Volunteers must commit to their assigned shifts as scheduled. Shifts may range from 4-8 hours, depending on role and operational needs. Breaks will be provided as appropriate.

5. Benefits for Volunteers

As appreciation for their contribution, volunteers will receive:

6. Conduct & Compliance

Volunteers must comply with all safety, security, and health regulations of the Festival. Harassment, discrimination, or inappropriate behavior toward guests, staff, or other volunteers will not be tolerated. Volunteers may not represent themselves as official spokespersons of the Festival. Volunteers must maintain confidentiality regarding internal Festival operations.

7. Liability & Insurance

YVolunteers participate at their own risk and acknowledge that BHIM Festival is not liable for personal injury, loss, or damage to personal property, except where required by law. Volunteers are responsible for their travel and accommodation arrangements, unless otherwise specified.

8. Termination of Volunteer Role

The Festival reserves the right to:

  • Reassign roles at any time based on operational needs.

9. Media Consent

By volunteering, you grant BHIM Festival the right to capture and use your image, likeness, and voice in photographs, videos, and other media for promotional purposes without further notice or compensation.

By signing up as a volunteer for BHIM Festival 2025, you confirm that you have read, understood, and agreed to abide by these Terms & Conditions.
